Privacy policy

Effective 26 October 2026 · Version 2026-10-26-v7

ADAPT MOTION is operated by Elijah Faraci-Miliado, trading as ADAPT MOTION, an individual / sole trader. ABN: 30 677 210 029. Business location: VIC 3585, Australia.

For privacy, support, account deletion or complaints, email adaptmotionapp@gmail.com. Do not send passwords, payment-card details or unnecessary health information.

Your choices matter. Training and food records are not automatically posted to the feed. Meal-photo analysis, Apple Health import, GPS and coach food sharing have separate controls. This policy covers the features available in your version; some features are still being tested.

1. What this policy covers

This policy explains how we collect, use, store and disclose personal information when you use our app, website, coaching tools and support. Some training, injury-related, measurement, recovery and food information may be sensitive health information. Providing optional information is your choice. Without information needed for a particular feature, that feature may not work; you can use other available features.

2. Information we collect

3. Why we use it

We use information to authenticate your account, sync your records, calculate training and nutrition summaries, provide requested coaching and sharing tools, verify paid access, respond to support and privacy requests, investigate abuse, maintain security and meet legal obligations. Sensitive information is used for the feature you choose and with the relevant consent, or where the law otherwise permits or requires it. We do not sell your health information or use Apple Health information for advertising. Signup is not permission for unrelated marketing.

4. Food scanning and AI

Barcode lookup sends the product barcode to Open Food Facts, which also receives normal connection information such as your IP address. Australian reference foods use the FSANZ Australian Food Composition Database. Barcode scanning does not submit the camera video to the meal-photo AI service.

If you choose meal-photo analysis or nutrition-label reading and confirm the upload, the app resizes and re-encodes the image without its original image metadata. The compressed photo is sent through our authenticated Supabase service to OpenAI to identify foods and estimate portions, or to read the nutrition values printed on a label. Database matches and scanned values remain subject to your review. Foods you choose to save for reuse stay in your private account. Avoid including people, documents or other private information. You can edit the estimates before logging them. ADAPT MOTION does not save the original analysis photo in the food diary or automatically post it to the feed. An account-linked daily request counter controls usage.

The AI request disables response storage using store:false; this does not guarantee zero provider retention. Processing, security monitoring and any provider retention depend on applicable provider arrangements. See OpenAI’s privacy information. Analysis is optional; use food search or manual label entry instead.

5. GPS, camera, photos and reminders

Starting a GPS activity requests precise location to record coordinates, timestamps, accuracy, route, distance, pace and speed. Supported iPhone builds can continue an activity with the screen locked; the native app keeps a temporary location buffer on your device. Pause or finish stops location recording. Force-quitting the app or system restrictions can interrupt recording. Website tracking depends on the browser remaining active and cannot promise screen-lock tracking.

Saving an activity stores its recorded route with your private training records and may sync it to your account. A route can reveal home, work and other sensitive places. Route sharing is optional. Street maps request tiles from OpenStreetMap, revealing the requested geographic area and normal connection information to that provider.

Photos selected solely to create an external share image are processed on your device in the current sharing flow. Posting a photo to the feed or setting a profile photo uploads it for that purpose. Camera access is used for the scanning or capture action you choose. Local reminders may display organiser details on your lock screen according to your device settings.

6. Apple Health

Optional Apple Health import requests read access to workouts, active energy and heart rate. After your import confirmation and review, it copies the selected workout identifiers, start and end dates, type, duration, distance, available active calorie estimates, average workout heart rate and recording-source names for up to the previous 30 days into your ADAPT MOTION training account. You can link a Health workout to an existing training session to add its energy estimate without adding another session. Missing energy values are not treated as zero calories. Calories stay out of automatically generated public feed summaries. You can explicitly include available calories and average heart rate in a sharing design. Workouts may originate from Apple Watch or other Health sources. The iPhone importer does not read clinical records or sleep and does not write workouts to Health. The optional ADAPT MOTION Watch app requests permission when you start a recording. It reads live workout heart rate, active energy and distance, and saves workouts you finish to Apple Health. Apple handles Health syncing with your paired iPhone; you review and select what to import into your ADAPT MOTION account. The Watch app does not sign into your account or send Health data directly to our servers. Declining Health access leaves manual logging available. Revoking permission stops future access; it does not automatically erase records already imported into ADAPT MOTION.

Garmin Connect

The optional Garmin connection asks you to sign into Garmin and approve activity access. If enabled in your version, Garmin sends newly synced activity identifiers, dates, types, duration, distance, pace or speed, available calorie values and average heart rate to our Supabase server. The current connection does not collect route coordinates, activity files, daily health statistics, sleep or clinical information. It does not stream live watch data or retrieve historical activities from before connection. You review received activities before adding or linking them to your private training history. Nothing is automatically posted. Available Garmin calories may include resting energy, so they are labelled separately from Apple active calories.

We store the Garmin account mapping and permissions privately. Connection tokens are encrypted on our server and are never sent to the app. Delivery notifications are held until processing succeeds. Review summaries older than 31 days are removed during the next delivery processing or app refresh. Disconnecting in Settings stops new imports, requests revocation at Garmin, removes connection tokens after confirmed revocation and clears pending review summaries. Records you already saved remain in your training history until you remove them. You can also revoke access in Garmin Connect. Garmin data and derived data are not sent to AI services or used for AI training, evaluation or model improvement. Sending a workout to Garmin is a separate feature and is not enabled by connecting activity imports.

7. Who can see your records

Profile identity fields and posts are visible according to the app’s profile and sharing controls. Identity fields can remain discoverable to signed-in members even when activity sharing is private. Only content you choose to post is sent to the feed. An external share sends the selected artwork and values to your chosen destination, which handles them under its own policies. Recipients may keep copies.

A coach connection gives the connected participants access to the training, assignments, schedules, messages and feedback provided through that workspace. Check-in answers are shared when you submit them with the relevant consent. Coach notes are not displayed in the client interface; that does not remove any applicable legal right to request access.

Your private food diary is separate. You can enable food sharing for each connected coach. New reviewed entries, portions, dates and nutrient values are then shared; earlier logs and original photos are excluded. The coach view keeps the latest 500 shared entries. Turning that sharing off clears its shared copy and stops access through that view. Disconnecting stops workspace access, but cannot recall copies a recipient has already made or records a coach must lawfully retain.

Authorised administration may access information where needed for support, coach approval, security, moderation, privacy requests or legal obligations. Coach approval permits tools; it is not independent certification of qualifications.

8. Service providers and overseas processing

We use Supabase for authentication, database and storage; Netlify for website delivery; OpenAI for optional meal-photo analysis; Apple for enabled App Store purchases and device permissions; and RevenueCat for enabled subscription verification and restoration. Maps, barcode services and external sharing destinations receive information needed for the actions described above. Support correspondence is handled through our support mailbox provider.

Our Supabase database project is configured in Sydney, Australia. This does not keep all processing in Australia: provider infrastructure, support, security logs, backups and subprocessors can involve overseas processing, including the United States. Other locations depend on each provider’s services and arrangements. Contact us for current information about overseas handling relevant to your records. We assess provider arrangements and applicable safeguards; choosing an optional feature is not a waiver of your privacy rights.

Coaching habits, progress and message alerts

Coaches can assign habits and exercise instructions. Daily habit entries are shared within the active coaching connection. You choose whether to share dated body measurements, progress photos and notes with your connected coach. These records are not posted to the feed. Progress photos are resized and re-encoded on your device before upload to remove inherited image metadata; they are stored in a private Supabase bucket and opened through short-lived links. Removing a shared record revokes future access to its photo; a link already issued can remain valid for up to 60 seconds. Disconnecting revokes future coaching access. Copies already viewed or saved by a recipient cannot be recalled.

If you enable iPhone message notifications, Apple provides a device push token that we associate with your account. Apple Push Notification service delivers a generic new-message alert; the alert does not include message text, progress photos or measurements. You can turn off message alerts in coaching notification controls or iPhone settings. Signing out unregisters this device when a connection is available.

9. Storage, retention and deletion

Records are held in cloud services and in local device/browser storage. We use authentication and access controls to limit access, but cannot guarantee absolute security. Keep your device and login secure.

Account and diary records currently remain while your account is active unless removed through available controls or a deletion request is completed. Removing a diary entry does not necessarily remove a separate copy already shared with a coach. We retain information only while needed for the purposes described or an applicable legal, security, dispute or recordkeeping requirement. Health-record requirements can differ from ordinary account data. Backups and provider logs may remain after removal from active systems until their applicable retention cycle expires; we do not promise immediate deletion of every copy.

Request account deletion in account settings where available, or email us from your account email. The automated deletion service remains subject to verification, so contact us if the control is unavailable or fails. We may reasonably verify identity and will explain any information that must be retained, the reason and applicable period when handling your request. Account deletion does not cancel an Apple subscription or erase copies held independently by recipients or Apple.

Coach exercise demos

Coaches can save private custom exercises and upload demonstration videos. Demo videos are stored privately and are available to their coach and active clients assigned that exercise. Playback uses a temporary link, which may remain usable for up to five minutes after a connection ends. Upload only videos you have permission to share. These videos are not published to the community feed.

10. Access, correction and consent

Use profile and training settings to correct available fields, remove optional measurements, and export training data. That export is not a complete copy of every social, coaching or support record. Email us for broader access or correction, deletion assistance or withdrawal of consent. We may request proportionate identity verification. If a request is refused or limited, we will explain the reason and available complaint options.

You can change location, camera, photo, Health and notification permissions in device settings and turn off coach food sharing in Food. Withdrawing permission affects future processing; it may not undo processing already carried out lawfully.

11. Age and complaints

ADAPT MOTION is for people aged 16 and over. Signup records an age declaration rather than verifying identity. Contact us if you believe someone under 16 has an account. Users aged 16 or 17 should seek a parent or guardian’s help to understand the service and permissions.

Send privacy complaints to our contact above, explaining the issue and outcome you seek. We will assess and respond within applicable legal requirements. If unresolved, you can contact the Office of the Australian Information Commissioner or the Victorian Health Complaints Commissioner, as applicable.

12. Changes

We publish the effective date and version here. Material changes will be brought to your attention through an appropriate notice. We will seek additional consent where required for a new use of sensitive information. Connection availability depends on your app version. The Garmin connection explains its permissions and data handling before you connect; workout delivery to Garmin is not enabled by the activity connection.
